Sponsor symposia practical information

Thank you very much for your contribution as a sponsor to the TIMM-12 conference. On this page, you will find all useful information regarding your sponsor symposium. If you have any questions, please contact timm@congresscare.com. This information is only relevant if you are a TIMM-12 sponsor who has an Integrated/diagnostic sponsored symposium or the pipeline session within their sponsorpackage. If this is not the case, please contact us for all the Sponsor options.

  • Pipeline session is a 15 minute session block. Room TBA.
  • Integrated or diagnostic sponsored symposium is fixed in the time schedule.

Program

– First concept deadline July 10th

  • All concept speaker names can be changed later.
  • Overall subject
  • Title of presentation/abstract, function, organisation of the speaker(s)
  • Timeline of the program  
  • If possible, a short description of the given presentation (max 2-4 sentences per session)

– Second deadline August 1th

  • Inform us of all changes, but a near-complete concept to be published on the website.

– Programme ready before August 20th.

  • The program is final and ready to be published, communicated and printed for the program book; minor changes are still possible online.

Remember: The scientific program of the integrated/diagnostic sponsored sessions, workshops/pipeline session must be approved by the executive committee. Since the integrated sessions, workshops and symposia form an integral part of the scientific program they must conform to the norms and practices of scientific meetings. This includes full disclosure of any activities and commitments that may be considered to represent a potential conflict of interest.

When a speaker already designated to participate in the TIMM12 program is invited, the responsibility for covering all associated conference fees will be transferred to the sponsor. This includes the obligations for the speaker’s honorarium (travel tba), accommodations, and registration fees. The sponsor can use their complimentary registrations (per 15.000 EUR 2 complimentary registrations) to invite this speaker or booth crew free of charge.

Technical Rehearsal
– Possible on Thursday between 3:00 – 6:00 PM, please organize a timeslot with the organization.
– Possible on the conference days during non-program moments, please organize a timeslot with the organisation.

Video of your sessions:
If your sponsored symposium takes place in the plenary room, it will automatically be recorded, livestreamed and published within a secure environment for the upcoming six months. After these six months, the video will no longer be available.
– Online accessibility is only possible after a valid registration**

Extra

  • Programme  is up to the sponsor, the organisation can help by overviewing the program
  • Extra facilities like headsets, polling or assistance will bring extra costs near the given basics; please inform the organization.
  • Sessions in the plenary room are recorded and livestreamed. The organisation will inform you if it is possible to deliver these recordings free of charge to you as a sponsor (TBA)
  • Congress Care will help register the speakers and inform them. All costs (hotel/Travel) and fees for extra speakers are up to the sponsor.
  • Extra branding outside the sponsor room is not possible, branding during the sponsored symposium is possible
  • Extra promotion, like online bannering, extra mailing TBA and can always be implemented beside the send contract. Please inform the organization by extra needs.

Integrated/diagnostic/pipeline AV equipment

  • Inform us your setup on stage ( standard catheter not moveable)
    • Example: Chairs at lower table, setup. Extra possilibities.
    • Discussion or questions?
    • Online speakers? Note, this will bring extra costs to facilitate the stream
    • Branding banners only for fast movements.
    • Bio and information from speakers to promote your sessions, it is possible to create a setup link with us.
  • Extra information regarding your Pipeline sessions *if this is contained within your package:
    • Sunday 21 September 2025 12.30 -14.15 hrs. is foreseen for the Pipeline sessions. The Pipeline sessions at TIMM allow innovative pharmaceutical companies and start-ups with early-stage diagnostic or therapeutic solutions to present their products to a wider audience. A pipeline session lasts 15 minutes. We have two pipeline sessions scheduled at this point. If a sponsor would like to foresee a Pipeline session, there are only two slots available at this point.

Marketing

    • We are able to provide 1 dedicated e-mails in HTML format to be sent towards our registered participants (sponsor can deliver information or create a HTML mailing which Congress Care can upload) –  (e-mail delivered before August 20th.
    • General banner (800×300 pixels banner) to be delivered by sponsor for promotion in general promotion mailing TIMM
