A - Z Information

Build-up will start on Thursday 19 October 2023 as of 18.00hrs, no end time. Builder should pay attention to noisePlease note that all booths should be completed and staffed in time for the start of the programme on Friday 20 October 2023 11.00am.

All delegate catering will be served on the exhibition floor. Delegate lunches are included on 21 and 22 October 2023. Tea and coffee will be served at the exhibition during the breaks. Extra catering for your stand must be ordered directly at the organisers. No outside catering will be permitted in the building. If you require catering please contact the organisers by using the online forms.

No nails, screws or other fixtures may be driven into any part of the premises including floors, nor may any part of the premises be damaged in any way. Should any damage occur, the Exhibitor responsible will be invoiced for any reparation charges incurred.

The exhibition will be open during the following times:
Friday 20 October:                    11:30 – 20:00 hrs.
Saturday 21 October:                09:30 – 18:00 hrs.
Sunday 22 October:                  09:30 – 18:00 hrs.
Monday 23 October:                 09:30 – 12:30 hrs.

Delegate bag inserts should be delivered through the Freight Forwarding Company to the Congress Venue. Deadline: see freight manual (top of this page). We need 1250 copies.  Please provide Congress Care (timm@congresscare.com ) with a PDF example of your insert.

The Exhibition will officially close at 12:30 on Monday 23 October. Breakdown of stands may not commence before this time. Breakdown will be on Monday 23 October 2023 between 12:30 – 22:00. The exhibition area must be cleared of all exhibits/stands/materials by 22:00 hours.

Please note that we cannot accept any parcels before the congress, as we don’t have any storage rooms. So you need to give the set-up day for the couriers to come here. You will need also to be here to receive the parcels, as we are not authorized to do that.

IMPORTANT – Exhibitors will be responsible for any charges incurred if the Exhibition Area is not clear by the stated time of 22:00 on Monday 23 October 2023

Each exhibitor may have a maximum of 100 words, excluding name and address, of free editorial copy in the Final Programme/ Exhibition Catalogue. Please send your text by e-mail to Congress Care at: timm@congresscare.com. The deadline date for receiving this copy is Thursday 21 September 2023.

In the event of fire, switch off all electrical equipment and machinery in the vicinity of the fire, notify the venue’s security immediately and clear the hall promptly by the nearest fire exit.

The scientific agendas of all sponsored symposia must be submitted for reviewing to Congress Care before 1st of September 2023. The following audio-visual equipment is included in the meeting room:

  • LCD Projector
  • Laptop (2x)
  • Seamless switcher
  • Technical support
  • Comfort screen for speaker
  • Lectern
  • 4:3 or 16:9 projection
  • Sound system for multiple microphones. The lectern is provided with one fixed and one clip-on microphone. Including 4 micr
  • Table for chairman (2 pers) – size: 1.83m. x 0.76m.

All Integrated symposia will take place in the plenary auditorium (set up in theatre style, including: a lectern and a table for the chairs – 2 persons). If your company would like to schedule the symposium in a different meeting room, please contact the secretariat at: timm@congresscare.com

At the TIMM-11 conference we are offering a lead generation digital service. The cost for this service is 300 EUR (including 4 logins). With this service you have access to the application (app) on you own mobile device. After confirming you will receive more information about this service. Please contact timm@congresscare.com for more information.

Leaflets may not be distributed from anywhere other than the Exhibition Stands or within the Integrated Symposia. Companies organising an Integrated Symposium are allowed to promote their symposium only the time slot preceding their symposium (not earlier!). Leaflets displayed or distributed at any other point throughout the venue may be removed and destroyed by the Organisers.

All temporary structures, including stands, must be structurally sound. Structures deemed unstable must be modified or removed from the exhibition at the organizers expense. Structures 2.4 metres or more in height may require certification by an engineer.

Exhibitors are requested to use common sense precautions at all times and ensure that all stand personnel wear their identity badges. Should any suspicious or unidentified articles be discovered, the fact must be reported to the staff at the Registration Desks immediatelyThe Stand Manager must ensure that no person either touches or approaches the article concerned until security personnel, the Organisers or the police arrive.

The assistance of hostess(es) and/or ancillary staff can be ordered. Please see the order on-line forms. Over 10 hours per day – rate: 45.00€ per each extra hour – maximum hours per hostess per day x 12 / minimum daily charge x 3hrs

The venue is responsible for the cleaning of the aisles and public areas within the exhibition. However, if you require any extra cleaning for your own stand, then please arrange this directly with the venue (order forms on-line).

Each exhibitor is entitled to 2 free stand personnel badges. In addition for those exhibitors with stands of over 12sqm, an additional free stand personnel badge is included per 10sqm booked. Additional stand personnel may be registered at the special rate of EUR 300. Please send an e-mail to timm@congresscare.com to order additional booth personnel.

Exhibition space has been contracted on a space-only basis. Unless otherwise agreed in writing by the Organisers, exhibitors are not authorised to sublet, share or transfer their stand space. In the event of an exhibitor failing to take possession of his stand the Organisers have the right to re-allocate the stand and all monies paid shall be forfeited.

Shell scheme can be ordered on-line by using the appropriate order form(s).

There is very limited storage space at the venue and exhibitors are asked to make their own arrangements for the removal of all boxes, packing materials etc. prior to the opening of the exhibition

All companies taking a free build site over 12sqm must submit their stand designs for approval no later than 31 August 2023. These must submitted to Congress Care: e-mail: timm@congresscare.com

At the venue there will be free WiFi available.

Each level has its own ramp, so you won’t use any lift.
The exhibition is on the The Nikos Skalkotas Hall Foyer.
Skalkotas level has 2 doors coming from the ramp. The smallest is : 1,35m X 2,08m (height)
