On this page, you will find all the practical information you need as a speaker for TIMM2025.

All speakers are asked to bring their presentation slides (in pptx format) to the Speaker Slide Center of TIMM-12. We kindly ask you to do this at least 2 hours before your session starts.

We are very pleased to inform you that the notifications of acceptance/rejection will become available as of May 2025. Your notification will be send via email to the submitter of the abstract. Presenters of accepted abstracts are kindly requested to confirm their presentations by clicking on the link in the email, which will take you to the online system.

  1. The deadline for confirmation of your abstract(s)is 1 July 2025.
  2. All information will be printed in the main program as mentioned in the system.
    Please check the details of your title and authors carefully and request changes by emailing to timm@congresscare.com. Changes have to be made BEFORE 1 JULY.

Abstract authors must register for the congress by 1 July 2025 or advise us of withdrawal by this date. Registration ensures publication and presentation. Registration can be done via this link or the registration tab on this website.

The TIMM-12 accepted abstracts will be published in the “Mycopathologia”, your abstract will be published with the mentioned abstract code. Any changes made BEFORE 1 JULY will be implemented, after this date, changes can no longer be accepted!

YOUR PRESENTATION

  • Duration of your presentation is indicated when you have logged in, including 3 – 5 minutes for discussion.
  • Please try to limit the number of slides, in order to keep your presentation within the allotted time slot.
  • For audio-visual support of your presentation only PowerPoint will be available. We kindly ask you to bring your presentation on USB stick.Please set the aspect ration of your PowerPoint at 16:9.

Instructions for speakers:
For accreditation purposes we are obligated to request you to include a disclosure slide at the beginning of your PowerPoint presentation. In this slide you can mention whether or not you have potential conflict of interest to report and explain how it has been resolved. The meeting rooms are equipped with computers and data projectors. Please bring your presentation on memory stick to the central preview room in the speaker slide center in the break before the start of your session (video presentations should be tested 2 hours beforehand). Technicians will assist you loading your presentation. It is not allowed to use your own laptop. Please make sure your presentation is suitable for Windows (no Apple). The congress program is very tight, with not much free time between sessions.

Please respect the allotted time for presentation to ensure that your session stays on track. Reserve 5 minutes for discussion in your presentation. Arrive at the location ten minutes before the session starts. Become familiar with the operation of the audiovisual equipment. The chairs will explain how they would like to run the session.

Regardless in which session you will be presenting  (parallel, plenary or sponsor session) we ask you to use the Speaker Slide Center of TIMM-12.

To settle the PowerPoint slides for your lecture, we facilitate technical assistance where your can upload your presentation in advance.

Guidelines

  • Upload your presentation(s) at least 2-hours before start of your session at the Speaker Slide Center;
  • Upload you presentation(s) as PPT file, aspect ratio 16:9 widescreen. Make sure you have saved your file as pptx file and not as an older version (no Apple/keynote presentations or PDF file);
  • If you want to use images, videos or animations in your PPT presentation you are requested to embed those in your presentation. Do not use hyperlinks to external sources.
  • Be sure you have added a disclosure slide as first or second slide in your presentation.

Process
Please bring your presentation in pptx file on a USB with you to the Speaker Slide Center.  There, they will assist to prepare the presentation on beforehand of your session.

During TIMM-12, there will be a Speaker Slide Center (Room t.b.c.) where you can upload, check and edit your presentations if needed. Technical assistants will be available. Please find below the openings hours of the speaker slide center.

Friday 19 September           09:00 – 19:00 hrs.
Saturday 20 September      07:30 – 17:30 hrs.
Sunday 21 September         07:30 – 17:30 hrs.
Monday 22 September       08:00 – 11:30 hrs.

All mentioned times are local times.

Posters have to be produced in portrait style. The maximum size of the poster is: height 120cm, width 90 cm. You can find the assigned poster-number on the poster boards in the poster area. Please find below a download link for a poster template.

Poster mounting: Friday 19 September from 12:00 – 19:15 hrs. and on Saturday 20 September from 08:00 – 10:00 hrs.
Poster removal: Sunday 21 September after 16:15 hrs.

Posters that not have been removed by the author on Sunday 18:00 hrs. are removed and disposed off. 

ODD poster numbers: Saturday 20 September 2025 from 11:30 – 12:30 hrs.
EVEN poster numbers: Sunday 21 September 2025 from 11:30 – 12:30 hrs.

If you (or one of the co-authors) are not able to present the poster, please inform the congress secretariat (before 1 July)! Please note: if your poster is absent at TIMM-12 in Bilbao without notice before this date, your abstract submissions for TIMM-13 (2027) will not be considered.

In compliance with the EACCME (European accreditation) requirements all speakers are request to include a disclosure slide at the beginning of their presentation. In this slide you can mention whether or not you have potential conflict of interest to report and explain how it has been resolved. A conflict of interest is any situation in which a speaker or immediate family members have interests, and those may cause a conflict with the current presentation. Conflicts of interest do not preclude the delivery of the talk, but should be explicitly declared. These may include financial interests (eg. owning stocks of a related company, having received honoraria, consultancy fees), research interests (research support by grants or otherwise), organizational interests and gifts. If you have nothing to disclose, please state “I have no commercial disclosure” instead of the table.

  • Plenary presentations
    Depending on which day to present, but always include a minimum of 3 minutes for Q&A
  • Meet the expert sessions
    45 minutes speaking time, including 7 minutes for Q&A
  • Symposium sessions
    20 minutes speaking time, including 5 minutes for Q&A
  • Accepted oral speakers
    10 minutes speaking time, including 2 minutes for Q&A

Please always check your actual presentation time in the programme (click here). As speaker, arrive at your assigned meeting room at least 10 minutes before the session starts.
Speakers should take place in the front row seats to allow smooth transition from one talk to another.
